A practical supplier master data health check
Turn an agreed data extract into a clear view of quality issues and readiness.
A health check provides an initial view of whether supplier records contain the information needed for an agreed business purpose. Datanovel configures the checks around your fields and processes, using your existing data platform and approved access arrangements.
Map first, then check
Confirm which fields contain legal identity, tax information, contacts and payment information. Field names alone may not explain how your system is used. Establish country- and supplier-specific applicability before counting missing values.
The initial scope can cover completeness, expected structure, check digits where appropriate and consistency between related fields. Preserve the original values and report the rule that each exception failed.
The field scope follows the intended process
The agreed checks can cover three connected domains. Applicability is defined for the supplier and process rather than copied from a universal mandatory-field list.
- Identity and tax information: legal and trading names, registration jurisdiction, applicable business and tax identifiers, registered address and country.
- Contact information: the email and phone routes used for general communication, purchase orders and remittance advice, with the purpose of each contact recorded.
- Payment information: bank country, currency, account and routing identifiers, and applicable IBAN or BIC fields. Structural validation remains distinct from the approved ownership-verification and change process.
Show each rule and its result against the original record. This gives the team an actionable explanation of a quality score.
Make the result usable
Provide a summary by data domain and a record-level exception list for the team responsible for correction. Calculate readiness from the records meeting every applicable requirement, and show the limitations of that measure.
Where the client platform supports it, the checks can become repeatable controls with an agreed schedule, owners and reporting. The assessment establishes the necessary access, configuration and delivery effort.
Know when a deeper assessment is needed
Validation does not establish current ownership of a bank account, correct supplier identity or the reason two records exist. These questions need additional evidence and an approved review process.
The health check therefore provides a starting point for decisions about verification, cleansing and migration. It should not be presented as a universal certificate of data quality.
