Prevent avoidable supplier communication breakdowns
An address can look correct while purchase orders and remittance messages fail to reach the right team.
Outdated contact details turn routine transactions into repeated chasing. The issue can affect purchasing, compliance updates, invoice queries and remittance advice at different stages of the same relationship.
Define the purpose of each contact
Distinguish purchasing contacts, general account contacts and remittance contacts. A single generic address may not serve all of these purposes, and a named employee may leave while the supplier remains active.
Assess completeness, format and available evidence of current use. Delivery signals can help identify a problem, but a technically reachable address does not prove that it belongs to the right person or business function.
Connect the check to the actual problem
Review repeated delivery failures, unacknowledged orders and requests that require manual follow-up. Give the owner enough context to confirm the appropriate replacement through the approved supplier-contact process.
Keep an unverified replacement separate from an approved contact change. Changes to supplier communications can affect more than convenience, particularly when the same channels are used for sensitive requests.
Measure contact coverage, not just field failures
Assess whether each supplier has a suitable contact route for the business purpose. Where either an agreed email or phone route is acceptable, the overlap between missing fields matters.
Illustrative example: 30 suppliers have an email gap and 20 have a phone gap. If eight lack both acceptable routes, eight need an alternative confirmed contact; adding the field gaps would incorrectly suggest 50. A general contact can still be unsuitable for purchase orders or remittance advice.
Use routine interactions to keep information current
Supplier reviews, document renewals and other existing touchpoints can provide opportunities to confirm the relevant contacts. Define which changes should be reflected across connected supplier records.
