When the supplier details point to another business

Conflicting identifiers and contacts deserve a focused review.

A vendor record may name one legal entity while its tax information, correspondence or ordering contacts point towards another. The mismatch can be significant even when day-to-day purchasing appears to continue normally.

Build an evidence trail

Compare the legal name, registration information, applicable tax identifiers, contact details and recent transaction documents. Record which information conflicts and the source supporting each observation.

A newly formed entity, a changed domain or a different registration identifier may add context. None is sufficient alone to conclude that a supplier has been substituted improperly.

Allow for legitimate explanations

Supplier groups may use shared service centres, trading names or common contact channels. Tax-group arrangements can also explain shared identifiers. Establish the relationship and the entity responsible for the business transaction before changing the record.

Where the operational entity has changed, the organisation's supplier approval and contract processes determine the appropriate response.

Resolve the mismatch across the connected records

Route the exception to an accountable owner, include the relevant orders and request a specific decision. If correction is needed, consider all connected records and systems so one updated account does not leave others inconsistent.
