Estimate the capacity needed to manage supplier data
Use your workload and operating model to test whether the team has enough capacity.
Supplier counts alone do not establish the resource required for master data management. Work depends on onboarding volumes, review frequency, change requests, case complexity and the amount of evidence already available.
Build the baseline from activities
Measure the number of cases and handling time for the activities the team actually performs: supplier creation, identity checks, information requests, payment-data review, record changes, recurring reviews and exceptions.
Include coordination, checking and rework. Distinguish elapsed time waiting for a supplier from time spent actively working on the case. Translate productive hours into capacity using a realistic allowance for the team's other responsibilities.
Compare an explicit improved scenario
Describe what would change if selected steps were supported by the client's workflow, integrations or data platform. Estimate which manual tasks would reduce, which exceptions would remain and what new operating work the capability would require.
Compare the resulting activity model with current capacity. This is more informative than assuming an ideal supplier-information system will deliver a fixed percentage reduction.
Show the peaks as well as the average
Monthly onboarding patterns, renewal cycles and programme deadlines can create demand well above the annual average. A team that appears adequately staffed over a year may still struggle during concentrated review periods.
Illustrative example: if the work requires 600 productive hours in an ordinary month and 900 in a peak month, at 120 available productive hours per person the requirement is 5 FTE and 7.5 FTE respectively. These are planning assumptions, not an industry benchmark.
Connect capacity to the business case
Time released can support backlog reduction, better reviews or other procurement priorities. It does not automatically become a payroll saving. State how the organisation would use the capacity and how the effect will be measured.
